Hours: 27 -37 per week

Work Pattern: working 2,3 or 4 days per week 8.00am-6.00pm (weekdays only but must be able to work Thursdays & Fridays)

Starting pay: £11.50 per hour rising to £12.25 per hour on succesful completion of probation period (3 months)

JOB DESCRIPTION

TITLE Medical Office Receptionist/Administrator

RESPONSIBLE TO: Office Manager/Practice Manager
REPORT TO: Office Manager/Practice Manager
MAIN DUTIES: To undertake the whole range of office

administration and reception duties including:

  • operate the patient appointment system
  • receive and advise patients appropriately
  • answer telephones, take messages
  • operate the prescription system, maintain the computer database and input and extract information as required
  • deal with correspondence as instructed, including scanning and filing
  • record requests for home visits
  • Be responsible for opening the surgery in the mornings and setting the alarm and securing the building in the evenings
  • Typing of referral letters and other outgoing communications from the practice.

ADDITIONAL DUTIES To provide cover in all areas of reception, undertake additional office duties and specific tasks allocated by the Practice Manager. These may include assisting with compiling reports, maintaining and processing the file of third party reports for patients, photo-copying medical records for solicitors, stocking rooms and stock control.

PERSON SPECIFICATION

The successful applicant will have a mature outlook, be cheerful and able to interact with others. Experience of working within a similar setting is desirable. You must appreciate that people attending the surgery may be worried or feeling unwell, and be understanding and sympathetic.

The work is demanding, and certain periods of the day can be extremely busy, so you will have a calm personality and be able to multi-task.

Patient confidentiality is paramount, so you will ideally have some experience of working with sensitive information and appreciate the importance of respecting the confidential nature of your work.

A great deal of the work is carried out on computers, including appointments, repeat prescriptions, letters and the scanning of incoming post. Training will be given, but you will need to have competent IT skills.

Experienced typing skills required to assist with the typing of referral letters and other communications from the practice.

You will need to be able work different or additional shifts occasionally, to cover colleagues’ sickness or holiday absence.

Closing date: Tuesday 15th October but we reserve the right to close early should successful candidates be found.
